Registration and booking for training centres: from trial class to certificate
Watily gives your education centre a registration and class booking page with set seat counts, online fee payment and an official WhatsApp number that sends parents booking confirmations, absence alerts and instalment reminders. No spreadsheets, and no WhatsApp groups where everyone sees everyone's number.
- Bookable trial classes
- Seat limits per course
- Parent notifications
- Instalment reminders
Watily is a Saudi platform for training centres, tutoring and academies that combines class and course booking with seat limits, trial classes and fee payment by mada, Apple Pay and Tabby, with the official WhatsApp Business API to send booking confirmations, absence alerts and instalment reminders to parents or trainees. A bot answers course, schedule and price questions during registration season, and fee invoices are ZATCA-compliant and sent on WhatsApp. The goal is that parents hear everything about their child from one trusted number.
Everyday challenges in training centres, tutoring & education
Registration season swamps reception
At term start, in the summer break and before exams dozens of messages a day ask the same questions about subjects, times and prices, and actual registrations get lost among them.
Trial classes that don't convert
The student attends a trial class and nobody follows up, so the parent forgets or enrols at another centre that reached them first. And the centre can't tell which teachers or subjects convert trial classes best.
Parents want to know
A student's absence, a moved class or a cancellation is communicated through individual calls or open groups that expose families' numbers to each other. And with many groups, the important message gets buried under dozens of others.
Chasing instalments is awkward
Following up due instalments by personal calls eats admin time and embarrasses both sides, and paper receipts are lost before term ends.
How Watily covers it from one platform
Every plan includes WhatsApp Business API, bookings, loyalty, ZATCA invoices and the store — plans differ only in usage limits.
Class and course booking with seat limits
A booking page per course or class with a set capacity and a named instructor, plus a bookable trial class. Teachers follow their daily classes from one dashboard.
- A calendar per instructor or teacher
- Seat management per session
- Absence marked on the booking
Parent alerts from the centre's number
Individual utility messages per family instead of open groups: booking confirmation, class reminder, absence alert and schedule change.
- One message per parent
- No numbers exposed between families
- A shared inbox for parents' replies
A registration-season bot
A bot with menus and buttons that answers courses, levels, times and prices, and sends serious enquiries to the booking link or a staff member.
- Answers from the centre's knowledge base
- Asks grade and subject first
- Hand-off to a coordinator when needed
Online fee and course payment
List courses and packages as products in your store and collect fees with mada and Apple Pay, or in instalments via Tabby.
- A page per course with details
- Instalments via Tabby
- A payment link sent on WhatsApp
ZATCA-compliant fee invoices
A Phase 2 invoice with QR for every payment, sent to the parent as a PDF on WhatsApp instead of a paper receipt.
- Direct Fatoora integration
- An archive of each student's payments
- VAT reports
Automations that work from day one
From trial class to enrolment
Starts when: A parent asks about a subject or course on WhatsApp- The bot asks for grade and subject
- A booking link for the trial class with free slots
- A reminder to the parent before the class
- After the class, a message with the teacher's note and a registration and payment link
Every trial class gets a clear follow-up instead of ending without a decision.
Absence alert
Starts when: A student's absence is marked on the class booking- A utility message to the parent with the student and class name
- A button to notify the centre of an excuse
- A link to book a make-up class if available
- The reply reaches the inbox for the coordinator
Parents know the same day, and the centre documents the contact.
Instalment reminder and receipt
Starts when: An instalment or monthly fee due date approaches- A utility reminder with amount, due date and payment link
- Payment with mada or Apple Pay from the link
- A ZATCA-compliant invoice arrives as a PDF instantly
- Unpaid accounts appear on the admin follow-up list
Regular collection without awkward calls, and a payment archive per student.
Schedule change and completion certificate
Starts when: A whole group's class moves, or a trainee completes the course- An individual message to each enrolee with the new time
- A button to confirm attendance or request an alternative
- On completion the centre-issued certificate is sent as a PDF
- An invitation to the next course for those who opted in
Organised contact with every enrolee through the course and beyond.

Getting started with Watily
- Sign up free at site.watily.com/register and pick a plan by coordinator count and monthly alert volume.
- Prepare your commercial registration and the centre number for the WhatsApp Business API; activation usually takes 24 to 72 hours.
- Add courses, groups, teachers and seats per class, and set up the trial class.
- List courses as products in the store and enable mada, Apple Pay and Tabby.
- Write absence, instalment and schedule-change templates, and train the bot on common registration questions.
- Activate ZATCA invoicing with your VAT number in about 24 hours, and collect families' consent for new-course messages.
Every absence alert or instalment reminder counts toward the alerts quota, so a private tutor or small centre can use Basic at SAR 49 with 200 messages a month. A centre serving hundreds of students with several coordinators fits Growth (SAR 249) with 6,000 messages and five users, and multi-branch centres fit Pro. Compare plans
Frequently asked questions
Can I set a seat limit per course or group?
Yes. You set the capacity of each class or session, and when seats fill up they no longer appear for booking. This prevents overcrowding and gives you an early view of how full each group is. You can also keep a manual waiting list in the inbox for those who ask after a group fills.
How do I alert parents without WhatsApp groups?
You send individual utility messages from the centre's official number to each parent separately, so nobody sees other families' numbers. Parents reply in the same chat and replies arrive in the shared inbox.
Does it support instalment payments?
Yes, in two ways: paying via Tabby from the course page in your store, or centre-defined instalments that get reminders with a payment link before each due date. Either way a ZATCA-compliant invoice is issued for every payment.
Does Watily issue course certificates?
Watily doesn't design certificates, but you can send the certificate your centre issues as a PDF to each trainee over WhatsApp when they complete the course. The message stays in the chat history as a record of delivery.
How should I handle minors' data?
Communicate with the parent's number rather than the minor's, collect their consent at registration, and limit messages to booking, attendance and fees. Promotional new-course messages go only to those who opted in.
Does it also work for sports academies and language institutes?
Yes. Any education business built on scheduled classes with seats and fees works the same way: a sports academy, a language institute, a tutoring centre or an independent trainer. Only the class names, durations and the reward type differ if you enable a loyalty card for continuing members.
